If you have ever planned a multilingual event, you know that interpretation can make or break the entire experience. When done well, it creates seamless communication and an inclusive atmosphere. But when it goes wrong and oh, it can! You end up with what I like to call interpretation nightmares.

These are the avoidable, often painful mishaps that happen when interpretation is an afterthought: overworked interpreters, poor audio quality, last-minute document delivery, or worse, no preparation materials at all. Let me take you behind the scenes and show you what not to do, and more importantly, what you should do to avoid a crisis.

Here are five tips, drawn from real-life experiences, to help you steer clear of interpretation disasters:

1. Share Meeting Documents in Advance

This can’t be stressed enough: interpreters are not magicians, they are professionals who rely on preparation. Imagine expecting someone to deliver a technical presentation in a foreign language with no prior information. That is what it feels like when interpreters aren’t given materials in advance.

I remember one event where the client refused to share documents beforehand, citing confidentiality concerns. Instead, they shared a dense PDF the morning of the meeting. One seasoned interpreter told me afterward that she was so anxious about the quality of her work, she avoided making eye contact with the client. She did her best, but even the best interpreters need time to prepare.

The rule of thumb? Use two interpreters per language combination for meetings under six hours. For anything longer, consider adding a third. This allows for sufficient rest and ensures consistency throughout the day.

3. Have a Structured Approach to Complex Needs

Do not wait until the last minute to figure out your language requirements. If your event includes breakout rooms, multiple language channels, or hybrid formats, plan for that early. For example:

  • How many language pairs do you need?
  • Will interpreters be required in breakout rooms?
  • Are participants joining virtually?

Some smart clients send pre-event surveys to identify attendees' language needs and finalize logistics in advance. This level of preparation means your interpretation team knows what to expect and can deliver their best.

4. Do not Mistake Bilinguals for Professional Interpreters

Just because someone speaks two languages fluently does not mean they can interpret professionally. Interpretation requires training, technique, and years of experience. The difference is huge and it shows.

A professional interpreter can convey tone, context, technical terms, and nuance, without skipping a beat. If your event is high-stakes  like most conferences are,don't gamble on communication.
